Subject matter expert: Thank you Kathleen.

Host: If I file an information return and then realize I made an error when preparing the slips, how can I correct them?

Subject matter expert: You can make corrections electronically or you might be able to use paper slips.

Host: How do I make corrections electronically?

Subject matter expert: You can amend your return online no matter how you originally filed it, even if you originally filed on paper.

You can use your web access code to file your amended slips through the CRA’s Internet filing options. Which electronic option you choose will depend on the number of slips you’re filing.

Host: How would I amend the slips on paper?

Subject matter expert: To amend a slip on paper, fill out all the necessary information, including the information that was correct on the original slip. You then clearly identify the new slips by writing “AMENDED” at the top of the slip.

You also write a letter explaining the reason for the amendment and attach it to one copy of the amended slip. Send the letter and slip to the CRA and send two copies of the amended slip to your employee.

Host: What if I need to cancel a slip that I filed? Can I do that over the Internet?

Subject matter expert: You can use the same process to cancel a slip as you would use to make other types of amendments. The same online options are available.

Host: How would I cancel a slip in paper format?

Subject matter expert: Write the word “CANCELLED” at the top of a copy of the original slip and send it to the CRA along with a letter explaining the reason for the cancellation. You also have to send two copies of the cancelled slip to the employee.

Host: Now, is there a way for me to add slips to an information return I already filed?

Subject matter expert: Yes; the CRA accepts additional original slips using any electronic filing option, as well as on paper.

I should point out, though, that if you file additional slips after the due date, you will be subject to a late-filing penalty for the additional slips.

Host: Let’s say the total number of slips, including the new ones, is less than 50. How would I file any additional slips in paper format?

Subject matter expert: Much like amending or cancelling slips, you would fill out all the necessary boxes but you write the word “ADDITIONAL” at the top of each slip you’re adding.

You then send one copy to the CRA and two copies to your employee, if you haven’t already done so.

Host: Let’s say I have an employee who lost their T4 slip. What should I do?

Subject matter expert: You should issue them a replacement slip.

Host: When I issue the replacement slip is there anything I need to keep in mind?

Subject matter expert: When you provide your employee with a replacement slip, clearly mark “DUPLICATE” at the top of each slip and keep a copy for your own records.

Host: Do I have to send a copy to the CRA?

Subject matter expert: No. The CRA does not need a copy of the replacement slip.
